Spencer Global and the Epidemic related info, office, meetings, etc

Post by admin » Sun Mar 15, 2020 12:43 pm

O.k., so I have been meaning to make this post for a couple weeks, but kept holding off to see where this was all going.

We sort of "soft canceled" all meetings for March at our office in Santiago a few weeks ago.

We are now cancelling all meeting across Chile until further notice.

Meetings in person with existing clients is on an absolute emergency basis only. That is, there is no other way to get the job done, and we will be evaluating that on a case by case basis as things develop.

We are also closing our offices in both Santiago and Southern Chile until further notice.

All our employees and partners will be working from home.

Please do not try to drop in (there are always a few that try). You simply will not be allowed past building security, and there is no one there to talk to anyway.

That said, we are still operational. We have long-standing procedures for dealing with such emergencies.

Really, about 99% of what we do does not require us to have a physical in person meeting anyway. Nice to do a meet and greet with new clients, but even under normal circumstances it is not required in most cases.

I would say that easily over 70% of our current client book we have never met in person or we have not seen in person in years; yet, we still do work for them regularly. sometimes, daily, for years, from all over the World.

Email, phone calls, video conference, snail mail, whatsapp, etc is how we are operating now. Pretty much how we do the vast majority of our business anyway.

So, not our first rodeo. Not our first national or international crisis. It is not even our first epidemic (H1N1). We are following the same basic procedures as we used for that one.

The top priority is not to get anyone sick.

o.k., I will post more shortly on related issues.

O.k., seems this epidemic is causing more than a few practical logistics and legal issues.

super common among our clients recently is people either stuck outside of Chile that can not get back; or, people in Chile currently, that for all kinds of various reasons need to leave Chile, and many do not know when they will be able to get back in the country.

over the last month or so we have been dealing with our existing clients' problems with managing their issues, projects, and simply day to day life in Chile, by drafting powers of attorney for them to sign either in Chile before they depart the country or outside the country if they can not get back.

Pretty common service we provide, even during normal times. Often for no other reason than than it is simply cheaper than flying all the way to Chile just to sign documents, file something, etc.

So, If you find yourself in such circumstance, during this pandemic, and need assistance with handling official buisness inside the country, please send us an email explaining what your circumstances are, and what the major tasks or objectives you need completed inside the country.

If it is something we can handle by POA, we will quote you the costs for drafting and arranging the signing of a POA, plus provide an estimate of aproximate costs to execute the work or tasks under the POA (when known). We can also draft a POA for someone else, say friend or family in Chile to execute.

In most cases we can handle most things be power of attorney.

The one thing I would say to anyone that has to sign a Power of Attorney, under all circumstances, no matter who you give a POA to, is keep the POA powers as limited as possible. Regardless if it us executing the tasks or someone else. Very rarely is a blanket, open, POA ever required.

Better to need to sign another POA, than make a mistake and give an open ended POA and have them "go rogue" with it. Even with the best of intentions of the person you are giving the POA to, we have found limited POAs often will stop costly legal mistakes.

So best to put guard rails on your POA. Just like good physical hygiene is important durring a pandemic; so too is good legal hygiene.

Do notaries and government offices like property registers still work? We are on the edge of signing a land purchase and I wonder if it will be postponed for a while.

Depends, it's being assessed on day by day basis, they more than likely won't work as normal for foreseeable future, hope you weren't wanting that done in a hurry.

we got work arounds for most situation, but we got a look at each situation and work out a plan.

Not going to give general advice under the circumstances, as that could go very badly if you don't know what you are doing.

We were in a hurry because the seller had plans to travel to Europe in April but, uh, you know... 😓

Ok, cool, thanks. He has to travel from Santiago though, hopefully they will not lock down the whole city (it's been happening with huge cities in other countries).

O.k., just a bump in hopes the last few people on the planet that don't read the news might read this.

I am still getting a few people wanting to just drop in for a quick meeting.

We are not holding any in person meetings, anywhere in Chile, until further notice.

Email, phone us, etc, fine.

meetings, no.

Clients of Spencer Global Please Update us on your status

Post by admin » Thu Mar 26, 2020 12:19 pm

Quick Note to anyone that has ever hired us for anything.

If you are a client of ours, or have ever hired us in the past for anything, please send us a quick email with your status. This is all free to existing clients.

Things like, your current location, are you inside the country or outside of the country, are you travelling soon, are you under any current quarantine, family contact information if you like, some brief instructions for who to contact in the event of an emergency. Cell phone or other methods of contacting you.

The reason, with this fast moving emergency, we want to have some basic updated information on as many of our clients as possible. If we need to contact you, or for whatever reason we need to contact your family, we have the basic information before we need it.

Long ago we use to keep a big white board in our office tracking clients projects, and if they were in the country or out of the country. Well, after a while we had so many clients that was simply could not keep track of them all on a white board, especially clients we have not had a reason to speak to for a while.

After the 2010 earthquake, it took us some time to track down all of our clients in the country. Some we were not even sure they were in the country, because the information we had on them was out of date. It caused some big delays, and when family members started trying to contact clients of ours through us, it created unnecessary stress for all concern. That was in the middle of smashed communication grid in the country.

So, as a precautionary measure, we want to try and do this before it is needed.

Again, this all free. Completely confidential. Completely voluntary.

We are not trying to sell you any more services (not going to send you spam), but if you need them we are available. The purpose of this however is simply to make sure we have a way to reach as many of our clients as possible as fast as possible should the need arise.

O.k., that said. Let me tell the story of why we are doing this in more detail.

After the 2010 quake, after we had sort of literally put our house back together, checked on our employees, family and friends, we set out to check on all of our clients.

Most we were able to make contact with in pretty short order. However, we had a bunch of "stragglers", simply because we had imperfect information on where they were at. In fact, it took us almost a month to finally contact everyone. Some because we had no information. Some because they were in very remote locations in Chile. Ironically, a few were in such remote locations it was weeks before they even knew there was an earthquake.

Anyway, when we finally got all our clients accounted for, we were able to move on to helping other people such as finding forum members, strangers who were looking for family, etc. So, that delay in accounting for our clients (that luckily were all o.k.), delayed us moving on to other people that needed help.

So, based on that experience, we are hoping to cut down on those delays this time.
